What is the role about?

• As an Office Management Assistant, you support our team in administration, organization, and
office management, working closely with departments such as Purchasing, Project Management,
Sales, and Accounting.

Your tasks include a wide range of administrative and organizational activities. You also represent
our company as the first point of contact for internal and external partners. Your responsibilities
include:  

- Entering, managing, forwarding, and maintaining inquiries in SAP
- Independent correspondence with suppliers and customers
- Welcoming and hosting suppliers/customers
- Supporting project managers in quotation, order processing, and invoicing
- Organizing business trips and hotel bookings
- Handling incoming and outgoing mail
- Maintaining master data for suppliers, customers, and items in SAP
- General data entry and maintenance, creating new Office templates (Excel/Word)
- Processing supplier invoices
- Preliminary accounting tasks
- Procurement, management, and cost comparison of office supplies
- Handling A1 certificate applications
- Supporting project managers in creating service specifications

Qualifications / Skills

• Experience in administration, office management, or assistance
• Confident use of MS Office; SAP experience beneficial

• Good German language skills (spoken and written)
• Organizational talent with a friendly, professional appearance
